Attendance Shortage Notice: Format and Sample

By the time most centres send an attendance notice, the student has already stopped coming.

The notice that works is the boring one sent early — at the point where attendance is slipping rather than gone. It is also the one that protects you later, when a parent asks why their child was not prepared for the exam.

Send it while it still changes something

Pick a threshold and apply it the same way to everyone. Seventy-five percent is the common figure because that is what most boards and colleges use, and parents already recognise it.

But a single threshold sent once is a formality. Two notices work better:

• A soft one at around 85%, phrased as information rather than warning. Most parents genuinely do not know their child is missing classes.
• A formal one at 75%, stating the consequence.

The first one is where you actually recover attendance. By 75% the habit has set.

What the notice must state

A notice that says "your child's attendance is low" is unfair and easy to argue with. It needs the numbers.

• Student name, roll number, batch
• The period covered — "1 July to 31 August", not "recently"
• Classes held, classes attended, and the percentage
• The threshold you are measuring against
• What happens next, specifically
• What the parent should do — a person to contact and by when
• Date, and space for a signature or acknowledgement

The three numbers together are what make it fair. "Attended 22 of 34 classes — 64%" cannot be argued with. "Poor attendance" can.

Say the consequence plainly, and mean it

The most common mistake is a vague threat: attendance "may affect" eligibility. Parents discount it immediately, and it gives you nothing to stand on later.

State what will actually happen — barred from the term test, no report card issued, removed from the batch — and only state it if you will do it. A consequence announced and never enforced trains every parent who hears about it to ignore the next notice.

If there is no real consequence, say that too. "This is for your information; there is no penalty" is honest and still gets read.

Sending it

Printed and signed is the version that counts. If a dispute ever reaches the point where you need to show you gave warning, an acknowledgement slip with a parent's signature is the only thing that does the job.

WhatsApp works for the soft notice at 85%, and it gets read far faster. Send the numbers, not a photograph of a letter — a forwarded image of a printed page is unreadable on most phones.

Send both for the formal one: the message so it is seen, the printed copy so it is recorded.

Keep the counterfoil

Whatever you send, keep a record of what was sent, when, and to whom. A line in a register is enough.

The value shows up months later. A parent saying "nobody told us" is an entirely different conversation when you can produce the date the notice went out and the numbers it contained.

An attendance notice is not a punishment, and centres that treat it as one get defensive parents and no improvement. It works when it reads as what it is: a factual heads-up, sent early enough that somebody can still do something about it.
