Class Timetable Format for Coaching Institutes Running Multiple Batches

One batch does not need a timetable. You know when the class is, so does everyone else.

Three batches, two rooms and two visiting teachers needs one, and the moment you do not have it somebody is standing outside a locked room at 5 p.m. on a Tuesday.

The format

A grid. Days across the top, time slots down the side.

Put subject and teacher in every cell, not just the subject. The teacher initials are what let you spot a clash by looking.

One grid per batch. Do not try to fit three batches into one grid — it becomes unreadable at exactly the moment you need it to be readable.

Header carries the institute name, the batch, and the session or the date it takes effect. A timetable with no effective date is a source of arguments, because someone is always working off the old one.

The three clashes to check for

Once you have drafted it, check these three things before printing. Every timetable problem I have seen is one of them.

Teacher clash. The same teacher in two rooms at once. Obvious in principle, easy to miss when you built each batch's grid separately on different days. Check by teacher: read across all your grids for RK and make sure RK appears once per slot.

Room clash. Two batches in one room. Same failure, different resource. If you have two rooms, write the room in the cell.

Student clash. The one people forget. A student taking Maths in the morning batch and Science in the evening batch is one person, and if those two slots overlap they have to drop something. This bites hardest with the flexible-subject students who pay you the most.

Run all three checks on paper before the session starts. Finding a clash in the first week costs you an apology. Finding it in October costs you a student.

Sixty minutes is the default in Indian coaching and it works for school tuition.

For competitive-exam batches, ninety minutes is usually better — a JEE-level topic does not fit in an hour, and the ten minutes of settling at the start eats a sixth of a sixty-minute class.

What matters more than the length is the gap. Back-to-back classes with no break means the teacher who runs five minutes over pushes the whole evening late, and by the third class the students are arriving to find the previous batch still inside. Ten minutes between slots absorbs that.

Things that make a timetable survive

Put the weakest subject early. Students are sharper at 4 p.m. than at 7. If a batch is struggling with Physics, Physics should not be the last slot of the day.

Do not schedule anything important on the day after a school exam. Attendance collapses and you will teach a new topic to nine students.

Leave a slot empty on purpose. One free hour a week for doubts, revision, or the class you had to cancel when a teacher was ill. A timetable with no slack breaks the first time anything goes wrong, and something always goes wrong.

Look at the day columns, not just the rows. If Saturday attendance is bad across every batch, the problem is Saturday, not the students. Move it.

Printing and sharing

Print it and put it on the wall. Both walls — the classroom and the office.

Give a copy to each teacher, including the visiting ones who only come twice a week. They are the most likely to turn up at the wrong hour and the least likely to be in your WhatsApp group.

Send a photo to the parent group at the start of the session. Half the "when is the class?" messages you get are from parents who never had the timetable in a form they could find again.

Changing it mid-session

You will have to. A teacher leaves, a batch grows enough to split, a room becomes unavailable.

Two rules make changes survivable.

Change on a Monday, announce on a Thursday. Give people a weekend to absorb it. A change announced the same day it takes effect will be missed by a third of the batch.

Reprint the whole timetable, not just the changed row. Handwritten corrections on a wall chart are how you end up with three versions in circulation and nobody sure which is current. Print a fresh one with a new effective date and take the old one down.
